Turn Receipts into Organized Expenses
Zoho Expense centers its mobile workflow on capturing business costs as they happen. Users can photograph a paper receipt with Autoscan, upload an existing image, or record an expense manually, then organize the result instead of saving loose receipts for later. Automatic extraction can reduce repetitive entry, while itemization and splitting help when one receipt contains several categories or participants.
The home screen places Expense beside Report, Trip, and Advance shortcuts, so a new cost is never far from the main workspace. This approach suits employees filing travel purchases, freelancers keeping cleaner records, and teams that want each receipt connected to a structured expense before month-end reporting.
Build Reports and Follow Approvals
Individual expenses become more useful when they are grouped into reports and moved through an approval process. Zoho Expense lets employees create reports, add eligible expenses, submit them, and follow their status from a dashboard that separates unreported expenses, unsubmitted reports, and submitted reports. Recent Reports and Pending Approval areas make unfinished work easier to spot.
Managers can use report and trip approval entries to review requests without waiting for a desktop session. Comments, policy controls, and approval status help keep the process understandable for both submitters and reviewers. For recurring business spending, this creates a clear path from receipt capture to review and reimbursement rather than relying on email threads or disconnected spreadsheets.
Plan Trips and Request Advances
Business travel has its own workflow alongside everyday expenses. Users can create a trip, add itinerary details, submit the request for approval, and return to a dedicated Trips list filtered by status. The same mobile navigation also includes Trip Approval for managers, helping travel requests move through the organization before spending begins.
Advance requests support employees who need funds before a trip or another approved business activity. A dedicated Advances area keeps those requests separate from ordinary expenses and reports, while the home dashboard shows recent trips and a six-month spending overview. Together, these tools connect planning, pre-approval, and later expense reporting in one place for teams with regular travel.
Manage Cards, Mileage, and Routine Tasks
Zoho Expense extends beyond receipt entry with tools for corporate cards, mileage, analytics, and workspace settings. Card transactions can be matched with captured receipts for cleaner reconciliation, while mileage tracking can turn recorded drives into reimbursable expenses. The side menu keeps Cards and Analytics close to Expenses, Reports, Trips, and Advances, making the app useful for both daily entry and periodic review.
Quick Create reduces navigation when users need to start a common task, and the dashboard keeps pending work visible at a glance. Settings and app-lock options add practical control for a business workspace that may contain sensitive spending records. These features fit mobile employees, approvers, and finance teams who need a consistent routine from purchase through reporting.
